Thank you for your interest in our leasing and management services. We have created this brief summary of the New Client intake process and we are happy assist you at any step along the way. As you will see, each form is necessary for the successful transfer of the management of your property to a property management company and once these forms are completed we will be authorized to manage the property for you so that you don’t have to.
STEP 1: Complete the Questionnaire.
Landlord and Property Information Questionnaire
This Questionnaire allows us to gather relevant information about you, your property, the building in which it is located, the HOA and management company, utility providers, as well as information that will allow us to maximize our marketing of the property and minimize the amount of time that the property is vacant.
If you have not already completed this online form you can access it here. Completing this form is the first step and the information you provide allows us to complete the remainder of the documents necessary for successful property management.
STEP 2: Electronically Review and Sign.
Each of the forms in Step 2 may be signed electronically and will be emailed to you individually for your review and your electronic signature.
Property Management Agreement
The Property Management Agreement is the main document that governs our relationship. It spells out the obligations of both parties in regards to finances, maintenance, scope of services and other important information pertinent to the management of your property. This document will be emailed to you for your review and electronic signature.
Brokerage Duties Addendum to Property Management Agreement
The Colorado Division of Real Estate requires the Brokerage Duties Addendum to Property Management Agreement to be completed with every Property Management Agreement. The Brokerage Duties Addendum is designed to protect the landlord by and is used to ensure a standard level of services provided by property managers throughout the industry to the public. This document will be emailed to you for your review and electronic signature.
Insurance Information Request
This form allows us to communicate with your insurance agent and inform them that you will be leasing your property. By providing this information to your insurance company they will work with you to make sure that you have proper coverage for a rental property which is often a different policy providing you with more protection than a typical home owner’s policy. This form also provides you with an easy way to add Cliffdwellers as an Additional Insured as required by the Property Management Agreement. There should not be an additional cost for you to for this rider. This document will be emailed to you for your review and electronic signature.
Lead Based Paint Obligations of the Landlord for Properties Built Entirely Before 1978.
If any portion of a residential rental property was built prior to January 1st, 1978 federal law requires that a landlord disclose the possibility of lead based paint. The landlord is not obligated to conduct an evaluation or engage in any reduction activities. This form explains your obligations and how to be compliant with this federal mandate. This document will be emailed to you for your review and electronic signature. (If your property was built in it’s entirety after January 1st, 1978 then the Lead Based Paint Obligations of the Landlord does not apply to you.)
Lead Based Paint Disclosure for Properties Built Entirely Before 1978.
This disclosure is a companion document to the Lead Based Paint Obligations of the Landlord and is provided to tenants as an attachment to their lease when the property has been constructed prior to 1978. Failure to provide this form to the tenant can be very costly with fines in excess of $10,000. This document will be emailed to you for your review and electronic signature. (If your property was built in it’s entirety after January 1st, 1978 then the Lead Based Paint Disclosure does not apply to you and you may skip it.)
STEP 3: Download, Complete and Return.
The Internal Revenue Service requires the following form to be completed, signed, and returned in order for Cliffdwellers to properly manage your property. The Internal Revenue Service requires us to receive and retain a completed form W9 prior to dispersing your proceeds or reporting your year-end income. This W9 will be used to create your Form 1099, annually in January. You will receive your 1099 along with a copy of your annual income and expense statement. This form is a Landlord Agreement with Xcel Energy that a landlord uses to authorize a property management company to transfer service into the tenant’s name at the beginning of each lease and transfer back into the landlords’s name between tenancies. Please download the Billing of Vacant Rental Property Form here then complete and return.
If you have completed steps 1-3 you have hired a property manager and you no longer have to manage your property yourself! Your business development manager and your new property manager will follow up with you using our new property checklist to ensure that we have access to the property and all of the marketing is completed properly.
